2. Purpose and scope
This notice explains how EASIP processes personal data when people visit the website, contact EASIP by email or exercise their data-protection rights.
3. Website hosting, domain services and server logs
The website, its domain and DNS services are operated using services provided by:
easyname GmbH
Canettistrasse 5/10
1100 Vienna
Austria
When the website is accessed, technical information may be processed automatically in server log files. This may include the IP address, date and time of access, requested page or file, referrer information, browser and operating-system information, transferred data volume and access status.
The purpose of this processing is to deliver the website reliably, maintain technical security, diagnose errors and prevent misuse. The legal basis is EASIP’s legitimate interest in operating a secure and functional website under Article 6(1)(f) GDPR.
Log data is retained only for as long as needed for these purposes and then deleted or anonymised, unless longer retention is required to investigate a security incident or comply with a legal obligation.
4. Email communications
If you contact EASIP by email, EASIP processes the information you provide, such as your name, email address, message content and related correspondence, in order to respond to your enquiry and manage the resulting communication.
Email addresses under easip.org are operated using easyname’s email infrastructure. When an email is sent to or from EASIP, easyname may process sender and recipient addresses, date and time, subject, routing and delivery information, message content and attachments in order to transmit, filter, store and make the email available.
The public website does not use a contact form. Providing information by email is voluntary. If you do not provide the information needed to understand and respond to your enquiry, EASIP may be unable to process or answer it.
Depending on the nature of the enquiry, the legal basis is taking steps at your request before entering into a contract or performing a contract under Article 6(1)(b) GDPR, compliance with a legal obligation under Article 6(1)(c) GDPR, or EASIP’s legitimate interest in answering enquiries and maintaining professional communications under Article 6(1)(f) GDPR.
Correspondence is kept only as long as necessary for the enquiry and any resulting relationship, subject to applicable statutory retention duties and the need to establish, exercise or defend legal claims.
5. Cookies and similar technologies
The public website does not use analytics, advertising or marketing cookies. WordPress may use technically necessary cookies for security and for authenticated administration sessions. These cookies are not used to track public visitors for advertising or analytics.
We use a language-preference cookie (pll_language) to remember whether you selected English or German. The cookie is stored for up to one year. You can remove it through your browser settings.
If optional services or non-essential cookies are introduced later, EASIP will update this notice and implement an appropriate consent mechanism before those services are activated.
6. Recipients and processors
Personal data may be accessible to authorised EASIP personnel and to service providers that support the secure operation of the website and email services. Such providers act under applicable contractual and data-protection obligations where required.
EASIP uses easyname GmbH, Canettistrasse 5/10, 1100 Vienna, Austria, for website hosting, domain and DNS administration, and email services for addresses under easip.org. Where easyname processes personal data on behalf of EASIP, it acts as a processor pursuant to Article 28 GDPR. Personal data is disclosed to other recipients only where this is necessary for the relevant purpose, required by law, or supported by another valid legal basis.
7. International transfers
In the current configuration, EASIP does not use analytics, advertising or embedded third-party services that intentionally transfer website visitor data outside the European Economic Area. If a service involving an international transfer is introduced, EASIP will ensure an appropriate GDPR transfer mechanism and update this notice before activation.
8. Retention
EASIP retains personal data only for as long as necessary for the purpose for which it was collected, or for as long as required by applicable law. Server-log data is deleted or anonymised when it is no longer required for website delivery, security, error diagnosis or the investigation of a specific incident. Email correspondence is reviewed when the enquiry and any resulting relationship have ended and is then deleted unless continued storage is required by a statutory retention duty or to establish, exercise or defend legal claims.
9. Your rights
Subject to the conditions set out in the GDPR, you may have the right to request access to your personal data, rectification, erasure, restriction of processing, data portability, and to object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing before withdrawal.
To exercise your rights, contact office@easip.org. EASIP may request information needed to verify your identity.
You also have the right to lodge a complaint with a data-protection supervisory authority. In Austria, the competent authority is:

11. Security
